Voice Receptionist#
The AI voice receptionist answers your phone calls 24/7, qualifies leads, and books appointments. These are the questions we get about how it works.
Does it sound like a robot?#
No. We use high-fidelity neural voices with natural breathing patterns and realistic tonality. The voice is tuned for low-latency response so there are no awkward pauses. Most callers cannot tell the difference between the AI and a human receptionist. Call the demo line to hear it yourself: +1 (945) 245-4257.
How fast does it respond?#
Sub-500 milliseconds. That means the AI responds in under half a second after you finish speaking. This is fast enough to feel like a natural conversation. Most competitors run 1-2 seconds of dead air between exchanges. Callers hang up during that silence. Our latency tuning is what separates a useful voice agent from a frustrating one.
What happens when someone calls?#
The AI answers immediately with your custom greeting. It identifies the caller’s intent - are they looking for a service, wanting to book an appointment, asking a question, or requesting to speak with someone. Based on the intent, it follows a configured logic path: answering from your FAQ knowledge base, checking calendar availability and booking, collecting contact information for follow-up, or offering to transfer to a live person.
Can it book appointments on my calendar?#
Yes. The agent checks your live GoHighLevel calendar availability in real-time and books directly. The caller picks a date and time. The booking is confirmed on the call. A confirmation SMS and/or email goes out automatically. No double-booking. No back-and-forth. No “someone will call you back to schedule.”
What if the AI does not know the answer?#
Every agent runs on strict guardrails. If a question falls outside the configured scope, the agent does not guess, does not make up an answer, and does not hallucinate. It acknowledges the question and offers two options: transfer to a live person if available, or take a detailed message for priority callback. Every unanswered question gets logged so we can expand the knowledge base.
Can it handle multiple calls at the same time?#
Yes. Unlike a human receptionist who can only handle one call at a time, the AI handles concurrent calls with no degradation. Ten calls at midnight get the same quality as one call at noon. This matters for businesses that receive call bursts - after running an ad, during peak hours, or when a Google listing gets attention.
What if the caller wants to talk to a real person?#
The agent is configured to offer a live transfer when requested. If someone says “let me talk to a person” or “transfer me,” the AI routes the call to your designated number. If nobody is available, it takes a detailed message with the caller’s name, number, reason for calling, and any other qualifying information, then logs everything to your CRM for fast callback.
What languages does it support?#
Multiple. We build dedicated agents for specific languages - Spanish, French, Portuguese, and others depending on your customer base. A dedicated language agent performs better than a multilingual one because the speech-to-text model, voice, and prompt are all optimized for that language. If your customer base is primarily Spanish-speaking, we build a Spanish-first agent.
Does it work with my existing phone number?#
Yes. We can configure call forwarding from your existing number to the AI agent, or provision a new number through Twilio. If you want the AI to answer all calls, we set it as the primary receiver. If you want it to answer only when your team is unavailable (after hours, overflow), we configure conditional forwarding rules. You keep your existing number regardless.
What about callers with heavy accents?#
The speech-to-text engine (Deepgram) handles accents well. Clear cellular or landline connections produce the best results. The bigger factor is background noise - heavy construction noise, loud traffic, or poor speakerphone echo can degrade transcription accuracy. For the vast majority of callers in normal environments, accent handling is not an issue.
Will the AI say things my business would never say?#
No. Every agent runs on strict system prompts with defined boundaries. It cannot offer discounts unless we configure specific discount logic. It cannot quote prices unless we provide the pricing data. It cannot invent services, make promises, or go off-script. If it does not know, it escalates. The guardrails are built by a cybersecurity engineer, not a marketing intern.
How does it integrate with my CRM?#
Call recordings, full transcripts, lead contact details, and booking confirmations are injected directly into GoHighLevel (or your existing CRM) after every call. No manual data entry. No missed details. The data quality from the AI is typically higher than what staff enters manually because the system captures everything consistently.
What does setup involve?#
20-30 hours depending on complexity. We build the conversation logic, configure your FAQ knowledge base, connect your CRM and calendar, set up call routing, test edge cases (interruptions, unclear speech, off-topic questions), and tune latency. Then we run test calls across different scenarios before a single live call goes through. This is engineering, not a template install.
What does it cost to run?#
Less than 10 cents per minute of actual call time. Compare that to $3,000+ per month for a human receptionist who works 8 hours a day, takes breaks, calls in sick, and handles one call at a time. The AI works 24/7 for pennies. Setup is a one-time investment. Monthly running costs are based on actual usage.
What happens during a platform outage?#
We monitor Retell, VAPI, Twilio, and GHL uptime continuously. Outages are rare but we plan for them. If a platform goes down, calls fail over to your existing voicemail or forwarding number. No calls are lost. You get notified of the outage and the failover status. Once the platform recovers, the AI resumes automatically.
Can I listen to the calls?#
Yes. Every call is recorded and the recording is stored in your CRM along with a full text transcript. You can review calls, identify areas for improvement, and verify the AI is handling conversations correctly. This transparency is part of our standard implementation.
Do I own the phone number?#
The number is provisioned through Twilio under your account or ours, depending on your preference. You retain full control and portability. If you ever stop using the service, the number transfers with you.
